How is the Academy Organised?

Personal Tutoring Students see their Personal Tutor daily and it is within the Personal Tutor programme that focus is given to developing their independent learning skills so that they become adept learners, able to cope with the demand of examination work from Year 10 onwards. Students at the academy begin their two-year GCSE courses in Year 10 and study for a range of qualifications including GCSE’s, the English Baccalaureate and A level programmes. All students follow a core curriculum consisting of English, Maths and Triple Science throughout their time at the academy and these subjects are set by ability.

House System The academy is divided into four Houses and students belong to one of these. On entry to the academy, students enter one of the four Houses where they remain for five years. The students have named the Houses after inspirational women and the chosen House names are Angelou, Kahlo, Seacole and Sharman. Each House has its own identity, mission statement and chosen charity. Students participate in House competitions and there is a healthy competitive drive to achieve as many leadership points as possible.

Quality Assurance To ensure that your child receives the best teaching possible, the academy has a range of senior and middle leadership staff who monitor lessons, develop the curriculum and support parents/carers and all staff to raise the students’ self-esteem and academic standards across the academy. We are an academy that is keen to be reflective and examine ourselves by conducting surveys to parents/carers/ staff/students and community members so that we can improve our service to you. We also commission consultants to undertake regular inspections and reviews; they report directly to the Principal and the UKAT Board of Trustees – ensuring that we remain totally focussed on our academy Improvement agenda for the benefit of our students.

The Academy Curriculum

Leadership Development Programme This is a programme designed for Years 7, 8 and 9 students to develop learning capacities, independent learning skills and employability skills. The programme aims to stretch students not just academically, but creatively and emotionally. Lessons help students develop self-belief, resilience, raise aspirations and improve problem solving skills, enabling them to mature into successful leaders of the future. Leadership points are collected in line with the 7 leadership habits by all students. It is delivered through the following four modules: • Critical Thinking • Enterprise • Public Speaking • Mindfulness

PSHE (Personal, Social, Health and Economic Education) PSHE is broken down into three areas: • Health and Wellbeing • The Wider World • Relationships We also look at Employability Skills, Looking towards Further and Higher Education, Property and Housing, Careers, Equality and Diversity.

| Chatham Grammar Academy Uniform The academy takes pride in its distinctive uniform. All students are expected to wear the uniform with pride.

Additional Information • A back pack (navy or black) or suitable bag is recommended for all year groups but is an optional item and can be purchased from Uniformbase or any retailer. A backpack or bag should be large enough to carry an iPad or an A4 folder. • The Academy’s hair policy is fully inclusive. We are conscious of supporting all hair types and therefore we support and adopt the Halo Hair Code. Visit www.halocollective.co.uk • Any hair accessories must be subtle and either navy or black. • The colour of a student’s hair must be a natural tone (black, brown, auburn, blonde or grey). Unnatural colours are not permitted – this includes but is not limited to blue, purple, bright red and green. • Head scarves and head wraps must be navy or black and no durags, bandanas or bonnets. • Please note that the Principal should be contacted directly for agreement if a student’s religion requires them to wear any alternative items. Head coverings should be plain black. • Students are not permitted to wear make up. This includes false eyelashes, or lash extensions, penciled eyebrows and painted or fake/false nails. • Jewellery – watches can be worn. No other jewellery is allowed (unless for religious reasons). Items must be removed for PE and Games.

This item is compulsory. • CG navy business style straight legged trousers with small logo from Uniformbase. Please note we will also allow plain navy business style straight-legged trousers with no logo from September 2023. This item is compulsory. • CG straight ankle length navy skirt, to be ordered 8 weeks before the start of a new term, price will be confirmed on application from Uniformbase (this is an alternative optional item to the box pleat, knee length navy blue skirt that offers students more coverage). • CG white revere collar blouse from Uniformbase or from any retailers. Equipment for Learning Please name all your property! Students should ensure they come with the correct equipment for lessons: • iPad • Pens (including a green pen for marking work) • Pencils • Rulers

• No body piercings such as eyebrow, lip, nose, tongue or ear and no clear nose or clear ear piercings are allowed in any circumstances and should be removed whilst the students are in the CG uniform. • Coats are permitted, but hoodies, zip-up jumpers and non-uniform jumpers are not allowed. • We encourage our parents/carers to label all uniform items as any lost items can be located more easily if they are labelled with a first and second name. • CG reserves the right to send students home to get changed if they are seen wearing incorrect uniform. Chatham Grammar is proud to offer parents and carers our Pre Loved Uniform Project which provides parents and carers with more choice regarding purchasing good quality, second hand uniform items. Family, Adult and Community Learning Programmes

We offer an excellent range of programmes that include tasters, introductions, accredited and Access courses to our parents/carers/students and the local community, in partnership with the University of Kent. Programmes are offered at various times throughout the day, evenings and weekends to encourage life-long learning.

A Able and Talented: All students have particular talents or are more able in certain areas. Intelligence is not seen as fixed at the academy; we believe all young people have the ability to be perceived as able and talented in some way if they are prepared to invest in their own learning. Absence: Chatham Grammar uses a Management Information Service, which is a text, voicemail and email system. If your child is ill and cannot attend the academy, please telephone the absence line number: 01634 851262 or email: attendancecg@ universityofkentacademiestrust.org.uk by 9.30am for each day of absence. You will be contacted if your child is absent without the academy’s knowledge. Academy Meals: These are available daily in the Lime Lounge (see Lime Lounge and Free academy Meals). Accidents: If your child has an accident at the academy you will be contacted as soon as possible. Please ensure we have an emergency number for you. You may be asked to complete an accident form. Achievement Events: The academy holds annual events to celebrate students’ achievements. Parents/carers are invited to attend. Addresses: In case of an emergency and to ensure you receive all communications, it is very important that we have your correct home address, contact numbers and email address. If you change any of your personal contact details, please inform the academy immediately in writing or via our website (see website). Advanced Level: These are Advanced level 3 qualifications that some Key Stage 4 and 5 students choose to study. They can lead to university entrance, apprenticeships or employment. AEN: Additional Educational Needs – this refers to students who require any additional support to help them achieve. Appointments: Any appointments with members of staff should be made by telephoning the member of staff concerned. Please do not just turn up at Reception expecting to be seen, as the person you want to see may be unavailable. Assemblies: These are held weekly are led by members of the Strategic Leadership Team, Head's of House, Personal Tutors and students.

Assessment: All students will be assessed throughout the year in most subjects. Parents/carers will receive three progress reports that detail the outcomes of these assessments. Assistant Principals: There are a number of Assistant Principals with specific responsibilities. They are all there to ensure that the academy works as an outstanding organisation for the benefit of our students. Asthma: If your child suffers from asthma, please ensure that the PE staff are notified of this and that the academy is aware of any medication they might need (see separate information on medication) . Attendance: Full attendance is very important. There is a clear link between attendance and achievements, including attainment in examination courses. It is the law that all young people stay in learning until the age of 18, which is the final Friday in June of the year in which they turn 18 (see Absence and Attendance Advisory Practitioner). Attendance Advisory Practitioner (AAP): The academy employs its own Attendance Team. They may visit a student at home if they are persistently absent from the academy. In addition, they are there to assist families who may be having problems. The academy works with an

C Careers: The academy has a Careers Advisor based in the Careers hub who can provide extensive careers information, advice and guidance which is supported by an external provider. Cashless Catering: The academy offers a cashless catering system where students can purchase food without the burden of carrying cash. Parents/carers can credit student accounts via the internet or through cash loading machines based on site at the academy. CCF: The CCF is the Combined Cadets Force and it is a young person's movement sponsored by Her Majesty’s Armed Forces. The CCF provides positive and challenging opportunities for our young people at Chatham Grammar and encourages the development of leadership skills, self-reliance, self-esteem, personal responsibility, resourcefulness, endurance, perseverance and a sense of service to the community. Students can join the CCF from Year 9 onwards and become Cadets. CCF is part of the clubs programme and training is after school from 3pm-4.45pm. CCTV (where installed): CCTV will be operated in accordance with the principles of data protection law.

Clubs: All students are offered an enrichment programme of after school clubs. Sessions include a range of activities to develop and extend students’ interests and experiences, e.g. talented and elite master classes, enrichment activities and support activities. The programme changes regularly throughout the year, allowing students to experience a range of activities to widen their horizons and enhance their cultural experiences. Students in Years 9 and above are also able to enjoy activities such as the Combined Cadets Force (CCF) and the Duke of Edinburgh Award (DofE). Code of Conduct: The academy has a Code of Conduct, which all students are asked to abide by. These are sensible guidelines to ensure learning takes place. Complaints: If you have any problems, please telephone or email your child’s Personal Tutor (see Appointments) or follow the academy Complaints procedure available from Reception or via the website. Consultation Evenings: The academy holds consultation evenings for each year group, where parents/carers can speak to staff about their child’s progress. These consultation evenings will be held in person or delivered online.

Attendance Advisory Practitioner (AAP) from the Local Authority who completes any legal work and visits families. The academy operates an automated text messaging service to alert parents/ carers to a student’s absence. The academy also imposes Penalty Notices for Persistent Absence and Unauthorised Holidays. In the event that your child incurs ten sessions of unauthorised absence in a rolling six-week school period a referral will be made to the Attendance Advisory Service for Schools and Academies (AASSA) and a penalty notice will be issued to each parent/carer. Parents/carers will receive a £60 fine, increasing to £120 if not paid within 21 days. Failure to pay the fine will result in a court prosecution for your child’s non-school attendance. B Bicycles: Students are allowed to bring roadworthy bicycles to the academy, but they must be secured with a strong padlock. Please note that cycle helmets must be worn at all times when students are cycling to and from the academy. The academy does not accept responsibility for any bicycles that go missing or are stolen. Breaktimes: Students have a daily 15-minute morning break and a flexi 30/35 minute lunch break (see Lime Lounge).

Counselling: The academy may make referrals to counsellors and other trained members of staff who can help students who are in need of additional support through a variety of different interventions. The academy has a limited onsite counselling provision for acute cases and works closely with external providers. D Detention: The academy can legally detain students on the same day without parental notification for a period of up to 30 minutes, even when parents/carers object. However, where possible, the member of staff setting the 30 minutes no notification detention will endeavour to contact the parent/carer, but this is not usually possible due to their teaching commitments. Staff are also being asked to allow students to call their parents/carers at the start of the detention, or students can ring home during the academy day. The onus is on students to tell their parents/carers about the detention. Detention is given for breaches of the academy Code of Conduct. Failure to attend the detention will incur a further sanction. Directory A-Z Dates: Term dates and holiday dates are available on the academy website.

Doctors and Dentists: Please ensure that any change of doctor/dentist by you is notified to the academy in writing or via our website (see Website). Duke of Edinburgh's Award (DofE): The academy offers students in Key Stage 4 and 5 the chance to access the prestigious and internationally recognised DofE Award. The DofE Award has been successful in developing enrichment and achievement across the academy, securing personal and social development and encouraging good citizenship. The award is well regarded by employers, colleges and universities. E Education Health Care Plan (EHCP): Students that have significant special educational needs or disabilities may be entitled to an Education and Health Care Plan, previously known as a Statement of Special Educational Needs. The Local Authority is responsible for deciding who is eligible for EHCP’s, based on applicant’s needs. Contact the SENCO. Email: Our address is: OfficeCG@ universityofkentacademiestrust.org.uk. Emergencies: Please ensure the academy has the correct contact number for you, should we need to contact you in an emergency (see Accidents). Environment: The students and staff all take pride in and responsibility for their academy (see Litter). Equal Opportunities: All students (whatever their background, religion, sexuality, sexual orientation, disability, class, culture, creed or colour) can expect to have the same educational opportunities offered to them following the policies of the 1988 Education Act, 1993 Act and 2006 Act. The academy has a Single Equalities policy. Equality Leaders: The Equality Leaders take part in a termly discussion groups to discuss topics related to equality, diversity and inclusion, and to help plan and organise cultural events. Equipment: All students should bring their charged iPad, water bottle, pens, pencils, ruler, sharpener and PE kit to the academy in a proper academy bag. They should be properly equipped for whatever lessons they have. Students are allocated a locker to assist them with the storage of their bags and equipment (see Lockers).

F Forms: Please ensure that you return forms sent home from the academy if a reply slip is attached by the date specified. (It’s worth checking your child’s bag every now and then to find letters sent home!) Free Academy Meals: Some students may be entitled to free academy meals. You can apply for free academy meals by clicking the following link: https://www. cloudforedu.org.uk/ofsm/medway/. Alternatively, contact Medway Education Department by calling 01634 306000, Medway Council's main switchboard at Gun Wharf, Dock Road, Chatham, Kent, ME4 4TR. Fund Raising: We promote community cohesion by encouraging students to support a variety of worthy causes such as Children in Need, Comic Relief, Medway Street Angels and local homeless projects. Students are involved via their PSHE programme or through the Student Voice. Students are made aware of what initiatives we are supporting via assemblies, notice boards and the academy website (see Website).

G Games: Games and physical education are compulsory for all students in order to maintain a healthy body and good level of fitness (see Uniform). GCSE: The General Certificate of Secondary Education is the external examination that students take in Years 10 and 11. General Data Protection Regulations: Details of your child are registered on the academy’s computerised information system. Under the GDPR law, you are entitled to see the entries on them at any time with written notice and within presented timelines. Please refer to the academy Privacy Notices for parents/carers and students on www.chathamgrammar.org.uk. Green Team: In 2018 a group of students wanted to make Chatham Grammar greener and this was the beginning of our now very proactive and successful Green Team. The students were passionate about making a difference and spreading awareness about protecting the environment. It is from here that the Green Team was born. A team of students who took on the challenge to help the planet. This team work together each Friday to make the academy more sustainable. They collect the academy’s recycling

bins to promote reducing, reusing and recycling around the academy. Also, they have successfully produced assemblies, spread awareness through campaigns and protests, planted tree around the school site and worked with their peers, teachers and local community to make a difference. H Holidays: The academy term dates are available to all parents/carers via the website. Holidays should not be taken during term time and could lead to a Penalty Notice being issued. Home-to-Academy Agreement: You will be asked to sign an agreement on entry to the academy which says what the academy will provide for your child, what the academy expects of you and what we both expect of your child. Hospital: In the event of a major accident, students will be taken to the Medway Maritime Hospital (see Accidents and Emergencies). I Illness: If a student is taken ill at the academy during the day, they must report to the Attendance Team (see Accidents, Emergencies and Hospital).

Internet: The academy is connected to the Internet and students can use the Internet providing you, as parents/ carers, sign the Internet/email user agreement and parental permission form. The Internet is extremely useful for students to research topics. The iPad: All students are allocated an iPad through the very affordable loan scheme that is offered to all parents/ carers. There is financial assistance offered to those families in need of financial support. Please contact ontact the Director of Business and Finance if you would like to discuss this further. J Jewellery: Only a watch is allowed – no other jewellery. The academy will send home any students who persistently challenge the academy rules on uniform, jewellery, piercings and hairstyles. L Lateness: Students should arrive at 8.20am and be on time for all lessons. If they are late without a legitimate reason, then a detention will be given (see Detention). Lead Sponsor: The University of Kent is the Lead Sponsor of Chatham Grammar. The University shapes the strategic vision for the academy and is responsible for its development. Leadership Development Programme: The Leadership Development Programme aims to stretch students not just academically, but creatively and emotionally. Lessons help students develop self-belief, resilience, raise aspirations and improve problem solving skills, enabling them to mature into successful leaders of the future. Leadership Points: Students are awarded points for demonstrating that they have developed the ‘Chatham Grammar Leadership Skills’. Points are awarded via our online reward system, ePraise. ePraise allows teachers to easily award Leadership Points, and for students to easily check and visually track their points via an app on their iPad or by visiting the login page from any web enabled device. Students can cash their points in for physical prizes using the virtual prize store. Letters: Please send in a letter to explain your child’s absence after illness (see Absence). Please also ensure letters from the academy are read and any replies made (see Forms).

Lettings: Businesses, community groups and interest clubs can hire areas of the academy premises and facilities. Please contact the academy on 01634 851262 or email Lettings@ universityofkentacademiestrust.org.uk for any queries regarding our facilities. LGBTQ+: The LGBTQ+ support group is an optional group, meeting weekly. The group provides opportunities for students to meet other students with shared life experiences and shared identities, creating a safe and supportive space to make friends and to share how they are feeling. Library: The academy has an excellent Library facility that houses books, publications and magazines. The Library encourages active learning by offering reading groups, debate sessions, initiatives and competitions. Students are encouraged to access the Library to extend their study skills and further support learning through a variety of different ways. Lime Lounge: The academy has a restaurant offering a refectory service. A variety of hot and cold meals and snacks are offered at lunchtime and break time. All food purchased at the Lime Lounge must be eaten in the designated spaces. Litter: All litter should be placed in bins provided and not dropped anywhere (see Environment).

Legally the academy is obliged to send educational information to anyone who has parental responsibility as defined in law. Personal Tutor: All students are allocated a Personal Tutor who looks after their needs and meets regularly with them to support their learning and develop their self-esteem and aspirations Principal: The Principal is the head of the academy. If you wish to see the Principal, please contact the academy to arrange an appointment. PSHE: This is a course undertaken by all students within their year groups. More information about this course is available in the Curriculum section of this directory. R Registers: All students are registered in every lesson, every day. It is a legal requirement that parents/carers ensure their children attend the academy every day during the academic year. Mobile Phones: Students are allowed to have phones on them, but they must be switched off at all times. If a mobile phone goes missing, the academy will not investigate or take any responsibility for the loss. In emergencies, students are allowed to use the office phone at break or lunchtime. Multicultural: The academy is committed to multicultural policies, ensuring equality of education and opportunity for all students (see Equal Opportunities). N Non-uniform Day: A couple of times a year students are allowed to come to the academy in their own choice of clothing for a small sum of money which will be collected for either the academy fund or a chosen charity, e.g. Children in Need, Demelza etc. P Parental Responsibility: The academy needs to know the names and addresses of all those who have

Lockers: Allocated lockers are available for students to store their personal belongings throughout the day. The rental charge for a locker is £10 per annum, payable by Direct Debit. Students are responsible for keeping their lockers clean and tidy and are not allowed to add any stickers or posters to the outside of the lockers. If students lose their keys, they are required to bring in £5 to pay for a replacement key that will be ordered by the academy. Lost Property: Lost items should be reported to Student Services who will direct students to the appropriate place to look for the item(s). Lost property items found by students should be taken to Student Services or Reception. All items of uniform or equipment should be labelled. Lunchtime: Students are not allowed to leave the premises at lunchtime (see Lime Lounge). M Meetings: Staff may contact you to ask you to attend a meeting about your child from time to time (to be arranged at a mutually convenient time). Relationship, Sex and Health Education: All students receive information and advice regarding Relationships, Sex and Health Education within the PSHE Programme. Reports: Parents/carers will receive progress reports approximately three times throughout the year. Rewards: The academy believes in celebrating and promoting positive achievements for all students. Students are awarded leadership points that equate to certificates and rewards for success in the following areas: academic attendance, progress and attainment, pastoral, community academy service and positive representation through participating in key roles such as student leaders or members of the Student Voice. SENCO: The role of the Special Educational Needs Co-ordinator (SENCO) is to ensure that students with learning difficulties and additional needs are identified, tracked and well supported to ensure that they make good progress in lessons and over time. The SENCO also enhances the related skills of the teachers to maximise the quality of teaching of their students with special educational needs.If you wish to make an appointment to see the SENCO please contact the academy via phone or email. Sickness: If your child is ill, please notify the Attendance Team at the academy by 9.30am for each day of absence by telephoning: 01634 851262, alternatively you may email on attendancecg@ universityofkentacademiestrust.org.uk Smoking: This is illegal on the academy site. This applies to all staff, students, parents/carers and visitors to the academy (see No Smoking). Snow: Closures due to snow will be notified via the academy’s website at: www.chathamgrammar.org.uk. We will also endeavour to send you a text or email so please ensure we have your up to date mobile number and email address. We will always do all we can to keep the academy open.

Educational Needs: If you are worried about your child’s progress, please contact the SENCO. Sports Day: An annual event held in Term 6. Student Pass: If a student needs to leave the academy during the day for an appointment with the dentist or doctor (or any other reasons supported by a parent/carer note), they must obtain a Student Pass from Student Services. They should carry this with them when attending appointments to show the Police or Educational Welfare Officer who may be undertaking truancy sweeps in the area. Student Voice: These are voluntary groups of students that represent their academy. The Student Voice looks at how they can develop the academy for the needs and interests of the students. Suspension: Although this happens rarely, if a student has been continually disruptive, sworn at a member of staff, initiated a fight, bullied others or made offensive sexist, racist, or homophobic comments or failed to follow the Academy Code of Conduct then the following actions will apply: they may be suspended for a number of days (FTS), or sent to our Exclusion Centre (EC) or the Exclusion Room (ER). UKAT Dogs: At UKAT we have a group of very friendly dogs that are either trained Dog Mentors or Therapy Dogs and these work with our students in groups or through one-to-one programmes. When our dogs are based in an area of the academy we use signage to show students and staff that we have dogs working inside the academy so students and staff can choose to avoid these areas if they prefer not to meet our furry friends. UKAT Sixth Form: These are students aged 16, 17, 18 and 19 years who are in Years 12 and 13 and studying Advanced level qualifications in readiness for entering university, apprenticeships or employment. Uniform: If for medical reasons a student is unable to wear part of the uniform for a day, an explanatory note should be provided by the parent/ carer for their Head of Year. In all other circumstances students will be sent home for a short time to change into the correct uniform and will be expected to return promptly to the academy. Students who return later than the permitted time will have an unauthorised absence. Uniform Pre Loved: Chatham Grammar is proud to offer parents and carers our Pre Loved Uniform Project. Pre Loved offers parents and carers an alternative choice to purchasing new uniform

Social Media : We use social media to promote and inform our parents/carers about student and academy activities. T Timetable: Students follow a timetable and this tells them which subjects they have on each day, at what time and where. Please keep a copy/note of it at home. Trainers: These are not part of the academy uniform and are only allowed for PE and not in lessons. Please note, trainers for PE must be non-marking trainers to avoid marking

the sports floors. Students who choose to wear trainers to the academy will be asked to change. Trips: A number of trips are held each year at the academy. The majority of trips are covered by the Lifetime Activities/Trips Permission to Participate Form which parents/carers are asked to complete in Year 7, or on entry to the academy. However, a letter will be sent home for each trip giving details of the visit and how to apply. Truancy: Students found to be truanting from the academy will be reported to the Attendance Advisory Practitioner and parents/carers will be contacted (see Attendance). World of Work (WOW): The WOW programme offers UKAT Sixth Form students the opportunity to be employed at the academy as staff in various paid roles, for a few hours each week. This supports their development in work-based skills.

Most commonly, we process it where: • We need to comply with a legal obligation • We need it to perform an official task in the public interest Less commonly, we may also process students’ personal data in situations where: • We have obtained permission to use it in a certain way • We need to protect the individual’s vital interests (or someone else’s interests) Where we have obtained permission to use students’ personal data, this permission can be withdrawn at any time. We will make this clear when we ask for permission, and explain how permission can be withdrawn. Some of the reasons listed above for collecting and using students’ personal data overlap, and there may be several grounds which justify our use of this data. Collecting this information Whilst the majority of information we collect about students is mandatory, there is some information that can be provided voluntarily. Whenever we seek to collect information from you or your child, we make it clear whether providing it is mandatory or optional. If it is mandatory, we will explain the possible consequences of not complying. How we store this data We keep personal information about students while they are attending our academies. We may also keep it beyond their attendance at our academy if this is necessary in order to comply with our legal obligations. Our Records Management Policy sets out how long we keep information about students and is available on request from the Data Protection Officer. Data sharing We do not share information about students with any third party without permission unless the law and our policies allow us to do so. Where it is legally required, or necessary (and it complies with data protection law) we may share personal information about students with: • Medway Local Authority – to meet our legal obligations to share certain information with it, such as safeguarding concerns and exclusions

• Characteristics, such as ethnic background, eligibility for free school meals, or special educational needs. • Exclusion information. • Details of any medical conditions, including physical and mental health. • Attendance information. • Safeguarding information. • Details of any support received, including care packages, plans and support providers. • Photographs. • CCTV images captured in the academy. We may also hold data about students that we have received from other organisations, including other schools, local authorities and the Department for Education. Why we use this data We use this data to: • Support student learning. • Monitor and report on progress. • Provide appropriate pastoral care. • Protect student welfare. • Assess the quality of our services. • Administer admissions waiting lists. • Comply with the law regarding data sharing.

National Pupil Database We are required to provide information about students to the Department for Education as part of statutory data collections such as the school census. Some of this information is then stored in the National Pupil Database (NPD), which is owned and managed by the Department for Education and provides evidence on school performance to inform research.

The database is held electronically so it can easily be turned into statistics. The information is securely collected from a range of sources including schools, local authorities and exam boards. The Department for Education may share information from the NPD with other organisations which promote children’s education or welbeing in England. Such organisations must agree to strict terms and conditions about how they will use the data. For more information, see the Department’s webpage on how it collects and shares research data. You can also contact the Department for Education with any further questions about the NPD. Youth support services Once our students reach the age of 13, we are legally required to pass on certain information about them to Medway Youth Trust, as it has legal responsibilities regarding the education or training of 13-19 year-olds. This information enables it to provide youth support services, post-16 education and training services, and careers advisers. Parents/carers, or students once aged 16 or over, can contact our Data Protection Officer to request that we only pass the individual’s name, address and date of birth to Medway Youth Trust.

Where we transfer personal data to a country or territory outside the European Economic Area, we will do so in accordance with data protection law. Parents and students’ rights regarding personal data Individuals have a right to make a ‘subject access request’ to gain access to personal information that UKAT holds about them. Parents/carers can make a request with respect to their child’s data where the child is not considered mature enough to understand their rights over their own data (usually under the age of 12), or where the child has provided consent. Parents/carers also have the right to make a subject access request with respect to any personal data UKAT holds about them. If you make a subject access request, and if we do hold information about you or your child, we will: • Give you a description of it. • Tell you why we are holding and processing it, and how long we will keep it for. • Explain where we got it from, if not from you or your child. • Tell you who it has been, or will be, shared with.

• Let you know whether any automated decision-making is being applied to the data, and any consequences of this. • Give you a copy of the information in an intelligible form. Individuals also have the right for their personal information to be transmitted electronically to another organisation in certain circumstances. Parents/carers may also request access to their child’s educational record, by contacting the UKAT Data Protection Officer. Electronic marketing communications From time to time we may use your personal information to communicate marketing information about events and activities. Your right to access your child's education record Parents/carers may also request access to their child's educational record. The right applies as long as the student is aged under 18. There are certain circumstances in which this right can be denied, such as releasing the information might cause serious harm to the physical or mental health of the student or another individual, or if it would mean releasing exam marks before they are officially announced.
